Great Hearts Parent Volunteer Clearance Process

 

Please note: APPROVALS EXPIRE EACH YEAR on June 30th, regardless of when you complete the application.  Therefore, a new online application and fee will need to be submitted for every new school year.

Where is the application for volunteer clearance? Great Hearts Academies uses the Raptor Volunteer Management System to screen all school volunteers through the completion of this application.

Why do volunteers need to go through the clearance process? This is done because the safety of our students, faculty and community is of the upmost importance.

How much does it cost to submit the application? There is a $5.00 fee, which is paid online at the end of the application submittal process.

How long does it take to know I am cleared to volunteer? The application results should be available within 10 business days.  The timeline could affected by holidays and school breaks.

May I begin volunteering once I’ve been approved? You may begin volunteering 24 hours after receiving clearance approval via e-mail.

Do I need to bring anything with me to prove I can volunteer?  Your information will automatically be uploaded into the Raptor volunteer database for the campus, or campuses, where you’ve been approved.  However, you are required to bring a valid picture I.D., such as a driver’s license or Military I.D., when you come to volunteer.

How often does a parent need to renew their volunteer clearance? Approvals expire each year on June 30th, regardless of when you complete the application.  Therefore, a new online application and fee will need to be submitted for every new school year.

I have children at two different Great Hearts schools.  Do I need to submit two applications? No, you may select multiple Great Hearts campuses within one application. A campus is defined as the combination of both the Archway and Prep schools (i.e. Great Hearts Chandler, Great Hearts Lincoln).

Where does my personal information go once I’ve submitted an application? Great Hearts and Raptor handles your information with the highest level of confidentiality.  The information is processed through multiple Raptor databases and the results sent directly to the Great Hearts Safety Manager for final approval.  It is not shared with external sources.

I have a fingerprint clearance card issued from the Arizona Department of Public Safety.  Can I use that to volunteer? No, unfortunately we can no longer accept these State issued cards.  You must go through the online application process.

I have a previously issued Great Hearts volunteer badge that is not expired.  Am I required to complete the online process? Yes, you are.  With the new safety protocols Great Hearts has in place, only those that have been approved through the Raptor Volunteer Management System will be allowed to volunteer at the school or on field trips.

 I’m just serving lunch on campus a few times a month and am accompanied by other parents.  Am I still required to complete the online process? Yes, regardless of the function that you are serving on campus, you will need to complete the online application.

I work in law enforcement; do I need to complete the online application? Yes.  There are no exceptions to those required to complete the online application to volunteer at the school.

What happens if my fingerprints show I have a previous record? The Great Hearts Safety Manager reviews results on a case-by-case basis.

How will I be notified if I’m not cleared to volunteer? A designated school administrator will reach out to you directly with the highest level of confidentiality.
