Why do volunteers need to be fingerprinted? The safety and security of our students, faculty and community is of the upmost importance. Fingerprints are utilized to ensure positive identification of the individual requesting to volunteer with our students. ARS 15-183 allows Charter Schools to determine whom is required to be fingerprinted in addition to employees and vendors.
How much does it cost to be fingerprinted? The Arizona Department of Public Safety (AZDPS) charges $20 for a volunteer fingerprint check. The fee is ultimately charged to the academy you were fingerprinted to volunteer with. Due to the large interest in volunteering, we ask that the fee be donated to the school to help alleviate the cost to the academy.
I have students at two different Great Hearts schools, do I need to be fingerprinted twice? No, fingerprints taken by Great Hearts Human Resources are transferable within Great Hearts Academies. The HR department will need to be notified if not at the time of fingerprinting to ensure you are identified with the common academies.
Where do my fingerprints and personal information go once I’ve been fingerprinted? Great Hearts handles your information with the upmost confidentiality. The HR department promptly mails the fingerprints to the Arizona Department of Public Safety who then send the fingerprints electronically to the FBI for processing.
How long does it take to know when I am cleared to volunteer? AZDPS and FBI take approximately 4-8 weeks to process your fingerprints.
What happens after Great Hearts receives my fingerprint results? Great Hearts makes personalized badges for the cleared parent volunteer per each academy their student attends. The badges are then distributed to the academies and retained at the school front office for distribution. What do we receive in result of being fingerprinted? Great Hearts Academies will issue each fingerprint cleared parent a personalized volunteer badge. This badge is required to be worn at all times while on campus.
Do parent volunteers get a fingerprint clearance card? No. For additional information, see next question.
Why can’t I get a fingerprint clearance card as a parent volunteer? The criminal history check process (NOT the clearance card process) is to be used for non-certified, non-instructional employees or volunteers such as office staff, custodians, and parent volunteers. The DPS Noncriminal Justice Fingerprint Compliance Program website has a section for charter schools.
May I begin volunteering once I’ve been fingerprinted? For the safety and security of our students, volunteers may not serve on campus until their personalized badge has been distributed to the academy. Please keep in mind, this may take 4-8 weeks to receive.
Can I show my badge to another school outside of Great Hearts to show I’m fingerprint cleared or give them a copy of my results? Your parent volunteer badge is only valid for Great Hearts Academies. Results are non-transferable outside of the Great Hearts network and may not be shared with any other entity including the person fingerprinted.
I have a fingerprint clearance card issued from the Arizona Department of Public Safety, can I use that to volunteer? Yes, a valid, Arizona fingerprint clearance card may be utilized in lieu of the volunteer fingerprint check. However, in order to volunteer on campus, Great Hearts Human Resources needs to obtain a copy of your card in order to issue a volunteer badge.
I couldn’t make the fingerprinting event on campus, can I come to the Great Hearts office and have it done? Yes, by appointment only during certain months of the school year.
Can I get fingerprinted somewhere else and send the fingerprints to Great Hearts Human Resources? No, appropriate card must be completed in order for Great Hearts to receive your fingerprint information. In addition, we require a chain of custody to be maintained once your fingerprints have been taken by a fingerprint technician.
I’m just serving lunches on campus a few times a month and am supervised by other parents during lunch, do I still need to be fingerprinted? Yes, regardless of the function that you are serving on campus, you will need to complete fingerprinting.
I have a concealed weapons permit and was fingerprinted to obtain it, can I send Great Hearts a copy of my permit? Great Hearts does not currently accept concealed weapons permits in lieu of a volunteer fingerprint check.
I don’t know if I will have time to be a volunteer, should I just get fingerprinted anyway just in case? While we value the time and dedication of our parent volunteers, we prefer to not expend any unnecessary cost to the academy. There will be additional opportunities later in the school year to be fingerprinted or you can make an appointment at the Great Hearts office should your circumstances change.
How often do parent volunteers need to be fingerprinted? The timeline is approximately 2-3 years and is subject to change. The back of each personalized volunteer badge will contain an expiration date.
What do I do when my badge expires? If you wish to continue volunteering, you will need to be fingerprinted again by Great Hearts Human Resources.
What happens if my fingerprints show I have a previous record? Will I not be allowed to volunteer? Results are reviewed on a case-by-case basis.
How will I be notified if I’m not cleared to volunteer? Great Hearts will mail a letter to your home address.
If I’m not cleared to volunteer will everyone at the school know? Very limited information is provided to the school administration as needed. No confidential information is shared.
How can I trust that Great Hearts will not share my personal information? Great Hearts is subject to an annual audit performed by the Noncriminal Justice Fingerprint Compliance Unit from the Arizona Department of Public Safety. This audit ensures secure storage and handling of any/all fingerprint information on-site. In addition, all Great Hearts employees handling fingerprint information must participate in online and in-person training as coordinated by AZDPS.
I work in law enforcement; do I need to be fingerprinted to volunteer? Yes.
